Responsibilities (Summary)
1. Manage Internal and external communication on behalf of Business Leader by processing incoming & outgoing emails and by answering phone calls in a professional manner
2. Manage calendar and schedule key meetings and serve as meeting facilitator (translation, minutes creation and distribution, periodically follow-up on action plans) if necessary
3. Manage documents (included preparation, printing, copying, faxing, mailing and hard/soft copy filing) in a tidy and effective way
4. Assist with periodically collection of data and preparation of routine and business reports
Responsibilities (Travel Arrangement)
1. Make arrangements for staff(s) as required for the required travel location. Arrangements can include: Visa requirements, flight bookings, transfer bookings, hotel reservations, office arrangements, relevant printouts, car rental service, etc.
2. Work closely with Global/APAC BU leadership team to manage their China trip.
Responsibilities (Data Management)
Collect data from team and consolidate to general report. Maintain & Update documents and databases for the team to share
Responsibilities (Agenda Management)
1. Make Schedule/calendar of staffs
2. Keep track of availability of meeting facilities within the department location, phone calls, voice mail, e-mails, faxes, reports, distribution list
3. Monitor and manage the above items to respective parties, and following-up on items requiring actions.
Responsibilities (General Administrative duties)
1. Department records and files, purchase orders for business related services, stationary and others
2. Provide assistance in big events, organize the internal review meetings, training and Kick off meeting.
Responsibilities:(others)
•Support whole team in daily operations, including but not limited to arranging meetings and preparing agenda as directed, preparing materials for presentation, tracking follow-ups.
•Help team leader organize and track operational projects, including marketing planning, forecast meeting, and all regular catch up meetings.
•Help on sales analysis regularly or ad hoc for team.
•Communicating with Sales, CSR department, Customers and dealers, process the contract smoothly.
•Arrange travel, receive visitors; operate telephone, fax, copying, mail and other office equipment
•Act as go-to person in cross department activities.
Minimum Qualifications:
•Bachelor degree or above, major in Biology is preferred
•Result driven
•Detailed oriented
•Good communication and organizational skill
•Proficient in using Word and Excel, PowerPoint for documents processing
•Good command of English
