The role of a team administrator involves word processing, replying to email inquiries and composing correspondence, answering the telephone, diary keeping, filing, arranging meetings and appointments, and arranging travel and accommodation for other staff members. Team administrators should have good typing skills and be organized, work well under pressure and possess the ability to multitask.

We are looking for someone with:

  • Extensive administrative management experience

  • Good people skills to receive and accommodate visitors in the reception

  • Experience in diary keeping, answering the telephone, arranging travel

  • Good typing skills

  • Ability to work well under pressure

Nice to Haves:

  • Customer service experience

On the job you will:

  • First point of contact for guests, vendor personnel, delivery personnel and visiting Manulife employees at the Manulife IT Delivery Center office.

  • Notifies any MITDC employees of the arrival of their guests prior to granting them access/entry into the main operations work area.

  • Answering screening and forwarding incoming phone calls Ensure reception area is tidy and presentable, with all necessary stationery and material (e.g. pens, etc.)

  • Receive, sort and distribute daily mail/deliveries

  • Maintain office security by following safety procedures and controlling access via the reception desk (monitor logbook, issue visitor badges)

  • Order office supplies, toiletries, and other consumables and keep inventory of stock.

  • Manage conference room usage and booking. Ensures all AV equipment are accounted for and directs maintenance personnel to perform post-meeting clean-up of each meeting/conference room.

  • Arrange travel and accommodations, and prepare vouchers as directed by EA of CIO

  • Filing of documents (maintain a database of soft files and printed matter in a secured manner)
