Administrative Assistant
Basic Function
As the Administrative Assistant of the Vice President of Asia Pacific, the role is required to provide full spectrum of secretarial and administrative support and in a professional manner.
Roles & Responsibilities
  • Serve as the primary support personnel to the Vice President for Asia Pacific including preparation of calendar management and daily schedule of the Vice President.
  • Arrangement of meetings / Coordination of travel accommodations and logistics.
  • Coordinates and provides logistics support for business conferences e.g. Board of Directors Meeting, JV Meetings, BAP Conferences. These includes making visa application and invitation letters, travel, accommodation and catering arrangements.
  • Handle emails and business communications, filing expense claims, etc. to ensure the daily operation to run smoothly.
  • Assists in collecting and monitoring sensitive business information from various business teams and functions as requested by the Vice President of Asia. Handle and maintain confidential information and document management.
  • Manage various documentation, database maintenance and prepares presentation for reporting to global management timely and in a professional manner.
  • Participate in meetings as required, take minutes and follow-up on action items.
  • Well manner and presentable in handling visitors and incoming calls from senior management, JV partners in Asia Pacific, different business functions leaders, and external key executives from different contacts.
  • Translation of incoming documentation from Chinese to English or vice versa.
  • Assist in various projects and handle ad hoc assignments as required.

Min. Qualifications
Education:
  • Bachelor degree is preferred or equivalent.

Skills:
  • Excellent Interpersonal skills and a strong sense of integrity and confidentiality
  • Proficient in MS Office software

Work Experience:
  • Minimum 10 years experience as Administrative Assistant with 5 years of more in supporting senior management in multinational companies

Languages:
  • Fluent in written and spoken English, Cantonese and Mandarin
