Administrative Assistant II in the Graduate School of the Research Services of the Registry (Ref.: 503874) (to commence as soon as possible, on a three-year fixed-term basis with contract-end gratuity and University contribution to a retirement benefits scheme, totalling up to 10% of basic salary, with the possibility of renewal)
Applicants should have a good university degree with at least 5 years’ solid administrative experience, preferably in tertiary institutions, and be able to demonstrate a capacity for independent action and initiative. Applicants with less administrative experience should hold a PhD degree. They should have an excellent command of written and spoken English and Chinese (including Putonghua), a pleasant personality, good interpersonal and communication skills and a high level of organizational skills. They should also possess good analytical and administrative writing skills, proven experience in staff supervision and be able to work under pressure. High level of computer proficiency is required.
The appointee will be responsible for providing support to the new initiatives of the Graduate School. He/She will be the administrative Project-in-Charge of the HKU Presidential PhD Scholar Programme (HKU-PS) and the Summer Research Programme; and will provide all kinds of administrative support such as organizing interviews for the selection of candidates by panel members within tight schedules, compiling applicants’ data information, arranging activities for the Programmes, preparing proposals, reports and statistical information, budgeting and donations, providing secretarial support to meetings. The appointee is required to formulate implementation plans, coordinate with Faculties/Departments, administrative units and relevant parties to ensure smooth implementation and operation of the Programmes, supervise executive officer and support staff. He/She needs to work closely with the Dean and Associate Deans, and to undertake any other duties as assigned by the Dean, Associate Deans and Senior Assistant Registrar.
